How to reply to a council tax letter
Find the reference number on the bill, then reply in writing and keep a copy. If the amount is wrong, ask them to confirm the calculation. If you cannot pay, ask for a payment plan before the date. If you have already missed the date, reply anyway and explain why. Keep the reply short and put the date on it.

A council tax letter is one of the few bills where the reply changes the outcome. Most councils have a process for a wrong amount, a missed payment, and a plan. None of them start it for you.
Before you write anything
- The account reference, from the top of the bill.
- The date on the letter, and the date they want something by.
- What they are asking for: money, a form, or information.
If you cannot find the reference, describe the property and the date instead. A missing reference is not a reason to delay.
If the amount is wrong
Ask them to confirm the calculation in writing, and say which part you are querying: the band, the discount, the period, or a charge you do not recognise. Ask for the two figures side by side, theirs and yours.
Do not refuse to pay while you query it. Ask them to hold recovery while the query is open, and keep paying what you agree is correct if you can.
If you cannot pay
Ask for a payment plan before the date, not after. Give one monthly figure you can keep, and a start date. Ask them to confirm the arrangement in writing.
They will usually pause recovery while a plan is being agreed. They rarely do it once a summons has been issued.
If the date has passed
Reply anyway. Say what happened, ask what the position now is, and ask whether a plan is still possible. Late is a worse position, not a closed one.
Send it where they said
Use the address or portal on the letter, keep the sent copy, and note the date. If you phone instead, write down the name, the date, and what you were told. A note of a call is evidence. A memory of one is not.
Questions
Do I have to reply in writing?
It is much stronger if you do. A written reply gives you a dated copy of what you said and when. A phone call can be lost, and the person you spoke to may not have recorded it.
What if I have lost the original letter?
Contact the council and ask them to reissue it or confirm the balance and the dates in writing. You can still reply without the original. Describe the property and the period you are querying.
Can I just pay part of it?
Paying something is better than nothing, but a part payment alone does not create a plan and may not stop recovery. Ask for the plan in writing as well, and say what you are paying in the meantime.
