How to fill in a PDF form when it will not let you type

Open the form and click inside a box. If a cursor appears, it is a fillable PDF and you can type. If nothing happens, it is a scan: either print it and fill it in by hand, or open it in a PDF editor and add a text box over each field. Do not type over a signature line.

Two kinds of file get called a PDF form. One has real fields and behaves like a web page. The other is a photograph of a form with a PDF wrapper, and it will never accept a keystroke. Knowing which one you have saves twenty minutes of clicking.

Test it in two seconds

Click inside the first box. If you see a blinking cursor or a blue highlight, it is fillable and you can tab between fields. If the page just scrolls, it is a scan. A scan is not broken. It was never designed to be typed into.

If it is fillable

Fill it in the reader, do not print it first. Use the tab key rather than the mouse, because tabbing moves through the fields in the order the form expects and stops you skipping one. Save a copy before you sign, so you can correct a mistake without starting again.

If it is a scan

Two honest options. Print it, fill it in with a black pen in block capitals, and scan or photograph it flat. Or open it in a PDF editor, add a text box over each field, and type. The second looks tidier and takes longer; the first is always accepted. Do not try to type into a scan with the basic viewer, because you cannot.

  • Black ink, block capitals, inside the boxes.
  • Photograph on a flat surface in daylight, no shadow across the text.
  • One page per image, upright, and readable at 100 percent zoom.
  • Keep the file under about 5 MB, because many portals reject larger.

Signing, honestly

A typed name in a script font is not a signature in most legal senses, and some organisations reject it. If the form needs a signature, print, sign, and scan. If it is genuinely digital, use the signature tool in the PDF reader so the file records that it was signed, rather than pasting a picture of your name.

Before you send it

Check every page, including the ones you left blank, because a blank page can mean a missing section rather than a section that did not apply. Note the date you sent it. If the form has a reference number, put it in the subject line of the email so it can be matched to your case.

One more thing: a PDF form is often full of the details scammers want. If you are sending it to an organisation you did not contact first, verify the address before you attach anything.

Questions

Can I fill it in on my phone?

For a fillable PDF, yes, and most phones have a markup tool. For a scan, photograph is fine but writing with a finger looks bad on official forms. Print it if you can.

The form asks for a wet signature. What does that mean?

A real pen on real paper. Print it, sign it, scan it back. A typed name will usually be sent back to you.

Is it safe to put the form into an AI to explain it?

Remove your name, address, account numbers, and any identifier first, then ask what each field is asking for. Do not ask it to fill in the form with your details.
